Terms and Conditions
Thank you for choosing to fundraise for Weston Park Cancer Charity (WPCC). We could not continue our vital work without your support. The terms and conditions below are intended to help you carry out your fundraising safely; please read them carefully before you start to fundraise and refer to the Fundraising Regulator Code of Practice for further guidance. By fundraising for WPCC you agree to the following terms and conditions:
- My fundraising will be legal, open, honest and respectful and I will not fundraise in a way that is intrusive or puts undue pressure on a person to donate.
- I am responsible for organising all aspects of my fundraising including managing risk, health and safety, safeguarding, organising insurance and obtaining the relevant permissions and permits. WPCC cannot accept any liability for losses, costs incurred, damage or injury to me or anyone who participates in my fundraising.
- I will not do anything that damages or risks WPCC’s reputation, brand or name.
- I understand that I am running fundraising activities as an independent supporter of WPCC. At all times, I will state clearly that I am fundraising “in aid of Weston Park Cancer Charity”.
- I will contact WPCC for guidance and use of the charity’s ‘Proudly supporting Weston Park Cancer Charity’ logo and branding of any promotional materials I wish to produce. I will not change or amend the logo for my fundraising activity.
- I will return any specified fundraising materials (e.g. collection buckets, banners, etc) to WPCC in a timely manner or as requested.
- If I provide photographs or videos taken during my fundraising activity to WPCC, these may be used by WPCC for marketing/promotional and/or fundraising purposes. Anyone featuring prominently in the photo/video must be aged 18 or over and have consented to their image being used in this way. If anyone below the age of 18 is included in the photo/video, please ensure you gain parental/guardian consent.
- I will only collect the information I need to carry out my fundraising. I will not leave or store materials containing personal data, such as filled-in sponsor forms, in insecure locations.
- I understand that WPCC may contact me via email, phone or post in relation to my fundraising to provide support and ideas. All other contact will be in accordance with marketing preferences. 10. I will abide by the Fundraising Regulator’s Code of Practice.
- WPCC may terminate my rights to fundraise at any time.
If the fundraiser is under 18, your parent/guardian agrees takes responsibility for you under these T&C’s.
Organising your own fundraising event – Keep it safe and legal
Depending on the type of event you are organising, there may be specific legal or safety requirements you must adhere to. To find out more, please visit The Fundraising Regulator Code of Practice. Please be aware, Weston Park Cancer Charity cannot be held liable for accidents, injuries, loss or damages as a result of your event.
There are a few key things you need to think about when planning your event:
- If you’re holding an event in a public place, you must get permission first, either from the local authority or the property owner.
- If your event involves the general public, it’s important to have Public Liability Insurance in place. Check first to see if your venue already has this (as will often be the case). If you’re holding an event at home or on private property, check your insurance covers this too. You may need to carry out a health & safety risk assessment.
- If you plan to take photos of other people at your fundraiser, please make attendees aware.
- To keep everyone safe, check the Food Standards Agency guidelines on preparing, handling, cooking and storing food (please see guidance from The Food Standards Agency for further information).
Raffles, auctions & lotteries
- If you are planning to hold a raffle, auction or lottery, you will need to check you are staying within the law and may need a licence. For guidance, please refer to guidance by the Gambling Commission. It is your responsibility to abide by these rules and regulations.
- Depending on your activity, some other things require a licence too, such as using recorded music, putting banners or signs in public spaces etc. Please contact the local authority to find out which licences you need for your fundraising.
Donations & Sponsorship Money
- All donations should be kept in a safe and secure container and never left unattended, Funds raised should be paid to WPCC as soon as possible and within 14 days of the activity. Please see our Fundrasing page for further details.
- Please encourage eligible donors/sponsors to make gift aid declarations. This will make the most of your fundraising efforts by enabling us to recover basic rate tax on their donations. You can find more information and our gift aid resources here.
- If the tin(s)/bucket(s) are lost, or you believe the contents are being interfered with in any way, you must contact WPCC immediately for guidance.
